Responsibilities include:

  • Oversee and organize general office operations and procedures
  • Responsible for maintenance, mailing, shipping, supplies, equipment and errands
  • Greet visitors, answering incoming phone calls and delivering world-class service to our customers
  • Coordinate appointments and meetings and managing staff calendars and schedules
  • Coordinate domestic and international travel, including flight, hotel, and car rental reservations
  • Purchase office supplies and equipment and maintaining proper stock levels
  • Plan and execute company events
  • Coordinate office lunches for clients and pot-lucks for staff birthdays and anniversaries
  • Organize group opportunities to volunteer or support local charities
  • Create presentations and other management-level reports
  • Maintain digital filing systems to ensure consistent organization
  • Develop and implement office policies by setting up procedures and standards to guide the operation of the office
  • Provide direct administrative support as needed for staff
  • Keep the office tidy — organize cabinets, unload dishwasher, keep refrigerator clean, etc.

Desired skills and experience:

  • 2+ years of office support experience
  • Experience developing office procedures & process documents
  • Strong time-management and people skills, flexibility and ability to multitask
  • Advanced computer skills and experience with online platforms like Google docs and social media
  • Proficiency in Microsoft Office, with aptitude to learn new software and systems
  • Prior digital agency experience a plus
